Trade Show Follow-up System

You Collected the Contacts.
Now Close Them.

Most manufacturers walk away from a trade show with a badge scanner full of leads and no system to follow up. Within two weeks, 80% of those contacts have moved on. We build the follow-up engine so you don’t leave pipeline on the floor.

Follow-up must begin within 72 hours of show close. Every day you wait, your lead list cools.

The Real Problem

Trade Shows Generate Contacts. They Don’t Generate Pipeline on Their Own.

Your team spent two days on the floor, thousands on booth fees, travel, and materials. You came home with 200 badge scans. Then Monday happened, and the follow-up never did.

I.

No system, no sequence

Everyone agrees follow-up matters. Nobody owns it. Sales is focused on existing pipeline. Marketing doesn’t have the context. Leads sit in a spreadsheet until they’re cold.

II.

Generic outreach that goes nowhere

“Great meeting you at the show!” is not a follow-up strategy. Buyers remember five vendors from the floor. If your message doesn’t connect to the specific conversation you had, it gets deleted.

III.

No handoff to long-term nurture

Even when the initial follow-up happens, there’s no system to keep warm leads engaged for the next 90 days. Most buyers aren’t ready to buy at the show. They’re ready to buy three months later if you’re still in front of them.

What We Build

A Complete Follow-up Engine, Deployed in Days

We take your contact list and turn it into a structured, segmented outreach program. Every touchpoint is written, sequenced, and ready to send before your team unpacks from the show.

01

Contact Segmentation and Prioritization

We review your contact list and segment by intent signal, company size, and buyer role. Hot leads, warm leads, and long-game prospects each get a different message and cadence. You never send the same email to a qualified engineer and a competitor who visited your booth.

Delivered within 24hrs of contact list receipt
02

Email Sequence, Personalized by Segment

Two to three emails written and ready to deploy, depending on your tier. Touch 1 references the show and the conversation. Touch 2 delivers a specific value asset relevant to their industry or problem. Touch 3 (Builder and Maximizer tiers) is a direct ask. Each is written in your voice, reviewed by you, and sent with your signature.

Delivered within 48hrs  |  2 touches: Starter  |  3 touches: Builder and Maximizer
03

LinkedIn Connection Sequence

Email is one channel. LinkedIn adds a second touchpoint without feeling like pressure. We write the connection note and the follow-up message for your sales rep to send directly, timed to complement the email sequence, not compete with it. Every message is reviewed and approved by you before anything goes out.

Optional add-on, recommended for all tiers
04

30-Day Handoff Call

At 30 days we review what opened, what clicked, who responded, and what didn’t move. We identify which leads are worth a second push and which should move to a long-term nurture sequence. If you’re a retainer client, those warm leads feed directly into your pipeline. If you’re not, this is where we have the retainer conversation.

The Bigger Picture

How the Trade Show System Fits Into Your Growth Architecture

The Trade Show Follow-up System is designed as a standalone entry point. But it’s also the first chapter of a longer story. Every client that starts here eventually asks the same question: how do we build this kind of system permanently?

Entry point for new clients

A trade show follow-up engagement is low commitment, high value, and fast. It gives you a real look at how we work before making a longer-term investment. Most clients who start here move to a retainer engagement within 60 to 90 days.

Low commitment entry ↗

Add-on for retainer clients

If you’re already on a retainer with us, the Trade Show system is a bolt-on. We know your positioning, your buyer segments, and your voice. The turnaround is faster and the sequences are sharper because we’re not starting from scratch.

Seamless retainer add-on ↗

Feeds your long-term pipeline

Not every contact from the show is ready to buy in 30 days. The Show Maximizer tier includes a 90-day nurture plan so your show contacts keep moving through the funnel long after the badge scanners are packed away.

Long-game pipeline ↗

Connects to the Growth System

Your trade show contacts are one data point in a larger acquisition strategy. We connect the follow-up sequences to your CRM, your email nurture program, and your content strategy so every lead is tracked and nothing falls through.

“Most industrial companies don’t have a quality problem. They have a system problem. The trade show floor generates interest. The system converts it into revenue.”

Common Questions

What Manufacturers Ask Before Getting Started

What if our contact list is messy or incomplete?

Most are. We work with whatever format your badge scanner or manual list produces. Segmentation and cleanup are part of what we do in Step 01. All we ask is that you send the list within 48 hours of show close so we can hit the 72-hour follow-up window.

Do you need access to our CRM or email platform?

Not necessarily. We write and deliver the sequences ready to send. You can deploy them through your own email platform, or we can set up a temporary sending environment. We discuss the right approach during the kickoff call.

Can we review and edit the emails before they go out?

Yes, always. Every sequence is delivered to you for review and approval before a single email is sent. Nothing goes out without your sign-off. This is how we work across all of our engagements.

We don’t exhibit at shows. We just attend and collect contacts. Does this still apply?

Absolutely. Whether you have a booth or you’re walking the floor, the follow-up problem is the same: you come home with contacts and no system to convert them. The Trade Show Follow-up System works for both scenarios.

Ready to Start

Your Next Show Is an Opportunity. Let’s Capitalize on It.

Tell us which show you’re attending and when. We’ll build the follow-up system before you hit the floor and deploy it within 72 hours of close. No retainer required to get started.
